CUSTOM - Define your Client Portal for Online Bookings Settings

Set the look, feel and functionality to suite your practice needs

Defining your client portal settings allows you to customise the portal features to suit your business needs. Each setting has been defined below.

Understanding Client Portal settings

You will find that the two settings tabs to the left of the portal that are required to be completed first. Some fields have been pre-populated to guide you, and you once you have completed the settings, help centre guides are available to continue the configuration on the right.

Master Settings

My Client Portal Address: Set the web address that your clients will visit to book their appointments. This is made unique by what is entered after the 'au/' which you can choose yourself. Ensure that you are really set on the URL address that you choose, as this cannot be changed later.

Clients cannot book any earlier than: Define how soon a client can book an appointment. This ensures that you don't receive any appointments sooner than you might anticipate (or be prepared for!). The number you set here ensures that clients will need to book at least that many days in advance.

My client portal logo: Brand your client portal by uploading your company logo

Booking Confirmation Policy: This will appear once a client has completed their booking

Phone number: You may like to add your practice contact number to appear on your portal should a client need to reach you

Terms and Conditions link: If you have a Terms and Conditions page on your website, you can place a link to it here so that it will also appear on your Client Portal

Privacy Policy link:
Similarly to the Terms and Conditions link,  if you have a Privacy Policy web page you can place the link here  

Enable Client Portal:
Once you have defined both Master and Communication client portal settings,  you are ready to enable your client portal. Next you will need to configure it, complete practitioner profiles, map appointment types to specialties and published your schedules,

💡 You can enable your client portal before having other parts of the setup complete, however the client portal will not be usable until other components are completed.

Communication Settings

Client's appointment reminder type: Specify the type of appointment reminder the client will receive prior to their appointment. This uses the same template that is already created in your your standard SMS and email reminders for appointments

Email confirmation text: Your client will receive a confirmation email after they have booked their appointment through the client portal. This is where you specify what the email will say

Notify practitioner when booking is complete?: Notify a practitioner when a client has booked an appointment with them. This is especially handy if you have next day appointments available through the portal and saves you and your practitioner from manually checking your calendar for new client portal appointments
